SKCA Databases

The databases used in the application are listed below. Excluded from this listing are several classes of databases: "delivery" databases (e.g., for the global instruction records added to your STAR system GLOBAL database when SKCA is installed); "transaction" databases used temporarily to capture your specifications for updating another database; and application system databases.

These records are used to track the "next-available" number for several fields whose unique identifiers are generated automatically, e.g., in autonumbering of level-3 box records across collections; in the assignment of Accession Group numbers in the Accession Number.

These records can be modified using the Management → Application Management task, however, we recommend that you contact Customer Support before re-setting the "next available" number to avoid duplicate identifiers from being generated.

Box Type Terms L.BOXTYPE

This authority database is used for controlling names used to describe Containers (in level-3 and level-4 Catalog records). A sample set of records is delivered with the application.

Catalog/Deleted Records L.ARCHBKUP

Records in this database are created automatically when you delete Catalog records and flag that a backup record should be created.

A task for accessing these deleted records will be added in a future release.

Catalog L.ARCHIVE

Used in the Catalog module.

Form Text L.KCATEXT

Each record in this configuration authority is used to customize the fixed-text elements in several reports in the application — in the Deed of Gift reports and the placeholder words to be generated in hierarchical displays for catalog records that you have not yet released for public access.

Hosts terms L.KCAHOSTS

(for use with one of three "digital resources" fields)  Create records in this authority to set up a combination of URL elements — host/domain name, path, and access method for use in the Constructed URL (URLF) field of the Catalog. When you enter a "keyword" for the name assigned to one of these authorities — or select from the picklist — several subfields in the URLF field will be populated so that a complete URL can be constructed as links in reports.

Languages L.LANGSA

Records in this authority are used for the controlled Language field in the Catalog. The standard MARC codes/official names are delivered with the application.

Listbox Values (for user-controlled fields) L.KCALIST

Each record in this "super authority" is used to represent the list of valid values that you want included in the listbox defined for selected fields in the Catalog, Accessions, and application Users databases.

Access to the records in this database is available in either of two ways:

  • To set up values in advance, use the Management...>Application Management > Edit listbox values task.
  • While working in an input form, click the pencil button by the listbox field to have the applicable record recalled in a second input form window, to add, modify, or delete entries wanted in the listbox. The listbox will be refreshed automatically to reflect your set of valid values.

Locations L.KCALOCS

This authority is used to establish Location IDs for use in the controlled location-related fields in the Catalog and Accessions.

A separate "utility" task is provided for having the system construct multiple records for levels within a range of patterned IDs.

MARC Export/Bib. Level Terms and Record Type Terms L.BIBLVLA and L.RECTYPEA

A standard set of records representing MARC codes is delivered in each database for use by the application in constructing the Leader in the MARC export operation. These records are not editable.

Media Types L.KCAMTYPES

This authority is used to set up the media/format values you want to use in the controlled Media Types field of the Catalog. A sample set of records is delivered with the application.

Names L.KCANAMES

Authority records in this database are required for the Donor/Source field in Accessions and the Catalog. Optionally, you can use it for names to be used in these other Catalog fields:

  • *Creators/Authors
  • *Current, Previous, and Original Owners
  • (Dublin Core, level 4) Other Contributors
  • (Dublin Core, level 4) Publisher
  • Rights Owner
  • Rights-to Log
  • Subjects

Those with * are fields also used in Accessions.

Authority records are also required for Researchers, in the Research Services module.

Each individual or group (organization/corporate author or family name) can be assigned to particular uses, thereby restricting their being valid in only one or a subset of fields. If an assignment is not made to one of the "use" values, the name will be valid in all of the fields that are associated with this authority.

Newly Acquired Materials/Hot Topic Searches L.KCALINKS

This database is used to create Hot Topic searches if you choose to implement the feature in your Public Catalog session. A set of records with pre-defined range searches (e.g., latest month) is delivered with the application for implementing the optional New Acquisitions feature in your Public Catalog session.

Number-generator Values (system records) L.ARIDNUMS

These records are used to track the "next-available" number for several fields whose unique identifiers are generated automatically. Records are not editable except by CA Customer Support.

Place/Geographical Locations L.KCAGEOG

MARC authority codes/names for country and state/province data are delivered with the application. Add your own regional and local place names for use in the several "coverage" fields provided for in the Catalog level-4 (files/items) form.

Record Level Names L.KCALEVEL

Create records in this authority to represent the official names you want to assign to levels in your hierarchies.

Requests (initial logs) L.AREQUESTS

Is used to store your initially created transaction records, representing both General Request Data and fulfillment data associated with up to 10 requested items. When you are done, a single record is exploded into up to 10 requested-item records, with their shared General Request Data.

Requests (exploded) L.ASERVICES

Contains the exploded records from the transaction database, used to manage the fulfillment process and generate management reports/statistics.

Restriction Summaries L.KCARESSUM

(optional) Create records for commonly used statements representing a summary of access restrictions.

Saved Searches/
Professional Search Interface
L.KCAPSSRCH

Contains automatically created records when staff save Catalog searches through the Professional Search interface in the Staff session. A set of "search fragment" records is delivered with the Customer Version.

Records are not directly editable. Searches are modified, deleted, or renamed through the Save Search option.

Saved Searches/Public Catalog Session L.KCAPUBSRCH

Contains automatically created records of complete formulations or search fragments saved by staff and made available in the Public Catalog session for use on the Advanced Search page. Your users can modify them or use them "as is."

Records are not directly editable. Searches are modified, deleted, or renamed through the Save Search option.

Implementation of this feature is optional and searches are saved and maintained in the Staff session, in the Management → Application Management task.

Saved Searches/Staff Session L.KCASSRCH

Contains automatically created records of searches saved in the Staff session, using either Assisted or Expert mode searches. Saved searches are specific to a database and task.

Records are not directly editable. Searches are modified, deleted, or renamed through the Save Search option.

Subjects L.KCASUBS

(optional) Create authorities for the official vocabulary to be used in the Catalog Subject field for topical, event, and other useful descriptive terms.

For corporate and personal names, you can use either this authority or the Names authority.

Users L.ARCHUSERS

This database, accessible through Management → Application Management tasks, is used to create login records for personnel who will be using the Staff session and to maintain the standard "anonymous-user" login record for the Public Catalog session.
